This notice explains how Tucker Barbecues handles information in Tucker Publishing Workflow, our private content-planning application. Our separate retail privacy policy covers the shopping website.

Information the application accesses

  • Google account information: the authorised account’s email address, checked to confirm the expected account.
  • Google Drive: file and folder details and selected business media or reference material. Supplied media may include identifiable people or voices.
  • Publishing Google Sheet: selected sources, prompts, draft text, review decisions, activity records and internal calendar entries.
  • Knowledge Curator Staff sheet: the published Staff release and its integrity information. Release checks temporarily process the Staff snapshot, which can contain internal or other-store entries. Those entries are discarded from the publishing result. Only released, customer-safe Tucker answers and their public references reach the publishing dashboard or a writing request.

Google’s read-only Drive permission can cover all files the authorised account can access. Our media worker restricts its operations to the configured finished-media folders. The application updates only its designated publishing workbook and reads the designated Curator Staff workbook without changing it. It does not access the Curator Master workbook.

Why we use this information

We use it to identify and check source material, prevent duplicate imports, preserve source versions, prepare reviewable drafts, save human edits and decisions, and maintain an internal content calendar. The current application does not connect to Gmail, contacts, customer orders or payments, and does not publish posts to social platforms.

Our use of Google-derived information will follow the Google API Services User Data Policy, including its Limited Use requirements. We do not sell this information or use it for advertising targeting or general-purpose AI model training.

Where information is kept and who processes it

Original business media remains in its Google Drive location. Workflow records are held in the publishing Google Sheet and local recovery files. A private Modal Volume also holds the intake catalogue, durable processing queue, monthly reservations and recovery receipts. Extracted transcripts, candidate assertions, generated drafts, provider responses and recovery records may also be retained in the private Modal Volume and our private project workspace. Original media remains in Drive; the ongoing worker does not keep its temporary original-media copies after the job ends.

Google provides the connected Drive and Sheets services. Modal runs our managed cloud operations and holds the Google credentials in managed secrets. Authorised application operators can review selected source material, drafts and retained records according to their workspace and file access. The current dashboard is a local, single-user pilot.

Google Gemini processes selected finished media, extracted source text and applicable brand guidance for authorised source analysis and writing. Original media is read into temporary cloud storage for verification and preparation, then removed when the job ends. Video analysis can include the complete audio and sampled visual frames; sampling and model-generated transcripts are not independent factual verification. Providers may process or store information outside Australia; we do not promise Australian-only processing or storage.

AI-assisted writing

Once activated by an authorised operator, automatic intake checks only the configured finished-video and finished-photo folders, including their nested folders. Existing files are catalogued without automatic generation. Stable future uploads can be analysed and turned into unapproved drafts. Operators can also request writing from reviewed sources. The workflow has no fixed end date and pauses new work when its agreed monthly allowance is unavailable. It does not purchase credits automatically. Human review of facts, reuse rights and final posts remains required. Internal-only Curator information and customer records are excluded from this writing route.

For writing with Google-derived information, the operator must first confirm active billing on the Cloud project used by the Gemini API key. If that condition cannot be confirmed, this writing route must not receive that information. Under Google’s Paid Services terms, prompts and responses are not used to improve Google products. Google may still log or temporarily store them for safety, abuse prevention and legal requirements. This is not a zero-retention service.

Earlier approved pilots used unpaid Gemini, whose terms allow product improvement and human review. Enabling billing does not change the terms that applied to those earlier submissions.

Retention and removal

We retain workflow records and recovery evidence for editorial work, review history and recovery. The pilot has no configured automatic deletion period. Archiving a post or revoking Google access does not by itself erase retained drafts, source copies or backups.

To stop future Google access, open your Google Account’s third-party connections, select the application and remove its access. Google provides instructions for managing app connections.

To request access to, correction of or removal of information retained by this application, email rad@tuckerbbq.com.au and identify the relevant file or record. Do not email passwords, API keys or tokens. An authorised operator will review the request and the affected records and recovery copies. Removal is handled manually; the application has no automated account-deletion facility.
